The goal is an experience that feels cared for and on-brand. That includes the attendee journey from check-in to the last dinner, the pacing between sessions, and the small touches that change how the retreat feels.
Coffee setups between blocks, a welcome moment that gets people excited about what’s coming, and a few “delight” moments that fit your brand, like an espresso bike or an ice cream cart at the right time.
How IRL Sprint works
We start with a discovery call to confirm group size, rough location preferences, timing constraints, and the type of retreat that fits your program.
Next comes venue sourcing and budget shaping. You get a shortlist of options that match your brief, plus a working budget and a recommended ticket structure.
Once you pick a venue, we lock the timeline, supplier plan, attendee admin flow, and the experience moments that shape the feel of the retreat.
If we’re working together on marketing and launch support, we build the selling assets alongside the logistics. That usually includes a landing page, an email sequences, an FAQ, and a simple promo calendar. If a webinar makes sense for your audience, we’ll plan and produce that too.
Then we run the build-up and delivery. We keep approvals moving, handle vendor coordination, and make sure attendees get the right information at the right time.
After the retreat, we run a short retrospective to capture what worked, what didn’t, and what to change for the next one.
Most retreats take 12–24 weeks from kickoff to arrival day, depending on location and season. Smaller gatherings, like masterminds or meetups, usually need 4–8 weeks.

Behind IRL Sprint is over 20 years of event work, including planning, production, and on-the-ground delivery. We also come from edtech and course marketing and spent years inside member communities.
